Assistant to Deputy Director of Development

The Jewish Museum seeks a detailed-oriented, proactive individual to provide essential administrative support and project coordination for the Deputy Director of Development, who oversees fundraising for the institution, including Major Gifts, Institutional Giving, Special Events, Membership, and Research. The position requires exceptional organizational skills and excellent oral, written, and interpersonal communication skills. The candidate must possess a strong ability to prioritize and manage multiple projects and deadlines, and work under varying degrees of supervision (including independently) in a fast-paced, high-pressure environment.

Successful candidates will be able to handle projects with a can-do attitude, thrive in a role with a high degree of responsibility, and feel comfortable interacting with all levels of the Museum community.

Responsibilities:

  • Serve as main administrative support and liaison for the Deputy Director of Development
  • Coordinate special projects within and across Development
  • Liaise with Museum Trustees, funders, staff, consultants, vendors and other professional colleagues on behalf of the Deputy Director of Development, including drafting and editing letters, emails, and reports
  • Organize and prepare materials for meetings including for the Board Committees, donors, prospects, and staff
  • Prepare budget reports, oversee departmental expenses, and coordinate Trustee invoicing
  • In conjunction with the Systems manager, act as the departmental liaison for list management, including invitations, catalogue mailings, and donor lists
  • Manage the Deputy Director of Development’s to-do list and contact lists, including making accurate entries into the Development database (Salesforce)
  • Schedule Deputy Director of Development’s busy calendar
  • Provide general administrative support including answering phones, setting up for meetings, greeting guests, filing, mailings, and expense reporting 

Requirements:

  • 1-2 years full-time administrative experience with demonstrated interest in museums and arts & culture organizations
  • A positive attitude and an entrepreneurial spirit
  • Exceptional organizational abilities and attention to detail
  • Ability to prioritize tasks and work accurately to meet deadlines
  • Excellent writing skills
  • Strong oral communication skills and phone manner
  • Experience with budgets and financial reporting
  • Strong judgment and the ability to maintain confidentiality 
  • Fluency with Microsoft Office and experience with Raiser’s Edge or  Salesforce
  • B.A./B.S. degree required
